What's included in a freight quote
A complete freight quote should break down several categories. The base freight rate is the carrier's charge for ocean or air transport. Origin charges cover pickup, export customs, terminal handling, and documentation at the origin port. Destination charges include import customs, terminal handling, drayage, and delivery. Surcharges vary but may include fuel surcharges (BAF/FSC), currency adjustment factors (CAF), peak season surcharges (PSS), and war risk or piracy surcharges for certain routes. Insurance is sometimes included, sometimes quoted separately.
When comparing quotes, make sure each provider has quoted the same scope. A quote that seems cheap might be missing destination charges or customs brokerage fees.
How to get better freight rates
Volume commitment is the most effective lever. If you can guarantee consistent monthly or annual volume, freight forwarders can negotiate better carrier contracts on your behalf. Even committing to 5-10 containers per year versus ad-hoc booking makes a difference.
Flexibility on timing helps too. If your cargo isn't time-critical, shipping during off-peak seasons or accepting a slower transit route can save 15-25% on ocean freight. Similarly, consolidating multiple smaller shipments into one container (buying FCL instead of multiple LCL shipments) dramatically reduces per-unit costs.
Building a relationship with one or two freight forwarders rather than shopping every shipment also leads to better pricing over time, plus better service when issues arise.
Red flags in freight quotes
Watch for quotes that are significantly below market rate, as hidden fees often appear later. Be cautious of vague line items like "handling fee" without specific amounts, refusal to provide an all-in landed cost, no mention of customs duties or taxes, and quotes valid for less than 7 days.
